INFORMATION FOR PRESENTERS

At the Animal Behavior Society annual meeting, Snowbird, Utah

Poster Presentations

Posters should be put in place on the poster boards in the Special Events Center on Monday, August 13. Assistance will be available during the lunch break on Monday (12:15-13:30), and all posters should be in place by 17:00 Monday. The posters will stay up throughout the conference and may be taken down on Wednesday, August 16 after 16:00.

 

The number of your poster as well as the date of your session (either Monday for odd-numbered posters or Tuesday for even-numbered posters) can be found in the Conference Program available on the Animal Behavior Society web page.

 

Please be sure to place your poster on the board with the correct number and to leave the board number visible. Poster presenters are asked to stand with their poster at a minimum from 19:00 to 20:30 on the day assigned for their poster.

 

Oral Presentations

Previewing. Snowbird is providing computers running Windows XP with Powerpoint, Adobe Reader, Quicktime and various plug-ins. Make sure (ESPECIALLY IF YOU ARE A MAC POWERPOINT USER) that your files are compatible with the equipment provided. You will not be able to use your own laptop during your presentation.

Two computers, configured as are those in the presentation rooms, will be available in the coatroom in the ballroom lobby (see schedule below). These computers are to be used only for previewing presentations or for converting presentations from Mac to Windows. They are not the computers that will be used during your presentation.

 

            Ballroom lobby coatroom schedule: the coatroom will be open only while the registration desk is occupied.

 

Saturday: 14:00-22:00

            Sunday: 07:00-17:00 and 19:00-21:00

            Monday: 09:30-17:00 and 19:00- 21:00

            Tuesday: 09:30-17:00 and 19:00-21:00

 

Naming your file. Save your presentation file using your surname as it appears in the conference program.

 

            Mac Powerpoint users. You must load onto a Windows machine (like those in the coatroom), review your talk, fix minor formatting errors and resave as a Windows-format Powerpoint file, not as a default Mac-format file.

 

            Animations and videos. Presenters will have a remote to change slides but will not have control of the computer mouse. Consequently, all animations and videos must either start automatically or be triggered by a click (forward slide change).

 

Help. If you have problems you cannot solve please come to the registration desk, and we will try to help. It would, however, be best if you formatted your Powerpoint appropriately for Windows before coming to Snowbird.

 

MOST IMPORTANT!

            Loading your program. Once you have checked your file and given it a file name as indicated above, IT IS YOUR RESPONSIBILITY to assure that it is loaded into the appropriate folder on the desktop of the computer in the Ballroom where you will speak, as indicated in the conference program. The desktop of the computer in each ballroom will have a series of folders labeled by day and time of day (e.g. Sunday morning, Tuesday afternoon, etc.).

On the day before you are scheduled to speak (unless you are scheduled to speak on Sunday), during one of the breaks, or after formal sessions have ended in the afternoon, you must load your file into the appropriate folder. For example if you are speaking in Ballroom 3 at 15:00 on Monday, you should load your file onto the computer in Ballroom 3 into the folder on the desktop that is labeled “Monday afternoon.”

 

If you are speaking on Sunday morning, you will have to load your presentation during the morning coffee break. If you are speaking Sunday afternoon, you will have to load your presentation during the lunch break on Sunday. During these two breaks, priority of access to the computers in the ballrooms will be given to those speaking on Sunday.

 

Silent Auction

            See Jim or Renee Ha about setting up in the Ballroom Mezzanine on Sunday afternoon.

 

Vendors

May set up in the Ballroom Mezzanine starting Saturday morning. Tables will remain in place until Wednesday afternoon.
