DUTIES SPECIFIED IN BYLAWS (Article II, Section 2):

1. Assume duties of President, if necessary.

2. Serve as Chairperson of the committee that determines the recipient of the Founders' Award.

3. Serve as member of the Board of Professional Certification. In ABS, ex officio members of committees are full voting members; however, the First President-Elect is excused from voting on certification applications per se (Policy, Section 28 VI A).

DUTIES SPECIFIED BY POLICY:

1. Conduct Founders' Memorial Award program according to Section 11, including appointing three ABS members to serve on the selection committee.

2. The First President-Elect, the individual who enters office concurrently with the Treasurer, is to be listed as an authorized signature on all ABS accounts for the three-year term of that Treasurer (Section 17 b).

3. Consult on use of ABS name on items for sale (Section 25 a).

4. Maintain "certification file" of Chair of the Board of Professional Certification (Section 28 VI A).

SUGGESTIONS:

1. The following guidelines are for the Founders' Memorial Award for best poster paper:

a. By early March, contact three ABS members to serve on the selection committee, such as previous winners of the poster award. The Program Officer will supply the names of session participants and their titles. Judges should not have a conflict of interest; thus if the First President-Elect has a student entered in the competition, he/she should not take part in the judging. Experience has shown that it is wise to have a mix of individuals involved in judging.

b. Contact the President to determine if the award is to be named after a specific Founder, i.e., a Founder who has died in the preceding 24 months, or, if no such deaths occurred, after a Founder who died before establishment of the Founders' Award in 1986, or in honor of all Founders (Policy, Section 11). No individual Founder should be honored more than once. Prepare a biography of individual being honored.

c. Provide the Program Officer with names and affiliations of judges on the selection committee plus the name of Founder the memorial session is to honor.

d. Ask Program Officer to send to all judges a copy of information on presenting posters that is sent to all poster presenters.

e. If necessary, contact Local Host and request information on size, orientation, and type of poster boards; the duration posters can remain on display; and the type of space where posters will be displayed.

f. Send each participant and judge a statement on how to prepare a good poster, criteria for judging, names and affiliations of judges, and additional information on poster boards and space at the meeting site.

g. Send judges example of judging sheet and ask their suggestions for changes.

h. Contact Pat DeCoursey? to ask if she will be available to do calligraphy on certificate. A large supply of certificates for "winners" and "honorable mentions" is available and passed on from prior committees.

i. At the meeting,

1. Read abstract of each poster.

2. Meet with judges before poster session and divide the list of presenters to ensure that at least two judges speak individually to every poster presenter.

3. Judge posters (initial judging may occur before time of session, yet final judging should occur during formal time for the session when presenters are in attendance and available to answer questions). The Award has come to be based on an equal mix of quality of presentation and quality of science.

4. Immediately after judging, preferably while posters are still available for review, meet with selection committee to select Winner and Honorable Mention(s) (if any). Keep results confidential until banquet ceremony.

5. At banquet, provide a brief biography of Founder after whom the award is named, introduce judges, announce Honorable Mention(s) (if any) and then the Winner. Provide monetary award and certificates.

6. Talk with the next First President-Elect and pass on Founders' Award information.

j. After the meeting,

1. Write participants informing them of the outcome. If the Winner or Honorable Mention individuals were not present at the banquet, send them monetary award and certificates.

2. Write the judges thanking them for participation.

3. Supply the Secretary with the names and affiliations of the Founders' Award winners so they can be announced in the August Newsletter.

4. Send documentation to Historian.

2. Submit annual report, including expenses and budget, to Executive Committee.

3. Submit annual report, correspondence files, and other appropriate archive materials to Historian.

4. Provide suggestions to the Parliamentarian regarding revisions to this statement on the duties of this office.
